The Office of the City Clerk is committed to providing the highest level of service at all times. We are here to serve you. Role of the City Clerk
The City Clerk reports to the City Manager, works directly with the City Council, and the public. This position is required to fulfill the duties pursuant to the City Charter, Article IV, and Section 2. A few of the City Clerk's responsibilities are as follows:

  • Keeping of all City records
  • Recording the official actions of the Council
  • Holding municipal elections
  • Processing annexation requests
  • Processing contracts and agreements
  • Processing requests for public records
  • City liquor licenses
  • Passport application acceptance agent

Avondale City Council Meetings

Regular Council Meetings are the first and third Monday of each month at 7:00 p.m. These council meetings are held
at the Avondale City Council Chambers located at 11465 West Civic Center Dr.

  • Unscheduled Public Appearance - If you would like to speak to the Council regarding an item on the agenda,        fill out a Public Comment card located at the back of the Council Chambers and hand it to the City Clerk prior       to the Council Meeting. You may address the Council regarding items not listed on the agenda during Unscheduled Public Appearances. Be sure to state your name for the public record. Limit your comments to   three minutes. Note: Council will not take action in response to items brought forth under unscheduled public appearance but may direct staff to report back at a future council meeting.

  • Scheduled Public Appearance - In order to be placed on a Council meeting agenda, you must send or fax a request in writing to the City Clerk. The request needs to be received one full week prior to the Council meeting. The request should state who wishes to appear, their address and phone number, the specific topic or issue to  be addressed, and any supporting information that may be relevant. Council may take any appropriate action on items scheduled on the agenda.

Agenda Items and Actions

There are two types of agenda items presented to Council:

  • information only
  • appropriate action

Appropriate actions include: no action, postponing action, taking action as recommended by staff, taking action as proposed by any Councilmember. All actions require majority vote of Councilmembers present. A minimum of four       (4) Councilmembers must be present for Council to transact City business. Some Council actions require formal documentation beyond inclusion in Council meeting minutes.

  • Resolutions - A resolution grants authority to perform an action, such as enter into a contract with a vendor, or authorize the budget for the coming year.
  • Ordinances - An ordinance is an amendment, deletion, or addition to the Avondale City Code. In other words,   it is a City law or statute.
